scrub

Hidden metadata in scanned tax documents

The GG Network · file privacy

Every tax season, the same files move through email and shared drives: scanned W-2s, 1099s, prior-year returns, bank statements. Everyone focuses on the numbers inside — your accountant, your lender, maybe an ex-spouse's attorney. Almost nobody looks at the file itself, even though it can carry a layer of information that never shows up when you open it.

What actually rides along

If a tax document was photographed with a phone — a W-2 snapped at the kitchen table to send to a preparer — it picks up the same metadata any photo does: device model, the exact timestamp, and GPS coordinates if location services were on. That's your home address, attached to a document full of your Social Security number.

If it was run through a scanner or a multi-function office printer, the file can instead carry the device's serial number and software version. And a tax return saved or exported as a PDF carries its own layer: an author name pulled from whoever's copy of the software built it, the producer software itself, and sometimes an edit history if the PDF was annotated or resaved.

Why it's worth a second look

Tax documents already contain some of the most sensitive data a person has on file — SSNs, income, address. Nobody needs to add a GPS pin or a device fingerprint on top of that. These files also get forwarded more than most: to a preparer, a mortgage lender, a financial aid office, sometimes an ex-spouse's lawyer during a divorce. Each hop is a chance for metadata nobody meant to share to go along for the ride.

What scrub actually covers here

For a tax document that's a photo (JPEG/PNG) — a phone snapshot of a W-2, for instance — scrub removes EXIF, GPS, XMP and any appended data the same way it does for any picture, losslessly and on your device, no upload. For a tax form or return that's a PDF, scrub currently detects hidden fields — metadata, author/producer info, embedded text layers — and shows you exactly what's there. PDF cleaning isn't available yet, so a scanned tax PDF is scan-and-check for now, not scan-and-clean.

If you need a tax document fully stripped before it goes out: photograph or scan it as an image, clean the image with scrub, and treat the PDF scan as a heads-up on what to ask your preparer or scanner software to turn off at the source.

The short version

Scanned tax documents can carry device info, timestamps and author fields alongside your most sensitive numbers. Image scans you can clean today; tax PDFs you can check today. Get scrub free and see what's actually in your next tax file before you send it.
